After finishing a home, a simple materials file can save a long search through messages and photographs when you need to identify a room’s paint or wall finish. Link each installed surface to its product and care instructions. Discuss the required handover information with Almusaileem before work begins.

Record each installed material
Keep manufacturer, product, colour code, sheen, room and surface. For flat cladding, include the pattern or size reference and available supplier details. Attach a container-label or sample-card photograph instead of relying on a general description such as “light marble effect”.
Give living-room walls, a feature wall and a corridor ceiling separate records where products differ. If a selection changes, record what was actually installed rather than the initial proposal.
Use the actual product’s care instructions
Request available manufacturer guidance. Benjamin Moore’s care information distinguishes drying from full curing: separate surface drying, readiness for cleaning or use and later maintenance requirements. Do not transfer waiting periods between products or assume completed application permits every cleaner.
Name the contact for future observations and keep the product sheet rather than reducing it to “clean normally”. General painted-wall care guidance helps frame questions, but the installed product’s instructions take precedence where details differ.
Photograph locations and difficult details
Retain an overview of each completed room and closer photographs of details such as a cladding edge or skirting termination. Name files by room and date and link them to the materials schedule. Photographs locate a finish; lighting, cameras and screens mean they do not prove an exact colour match.
Keep specialist-supplied maintenance and access information where available. Decor photographs do not establish concealed-service routes or authorise drilling. Consult the qualified responsible party before intervention.
Identify and store agreed samples and leftovers
Discuss early which samples or spare pieces can be handed over and how they should be labelled and stored under their product instructions. Unidentified leftovers do not ensure a later replacement can be matched. Record quantity, condition and handover date and use suitable storage away from children.
A colour code is useful but does not guarantee invisible touch-ups. Dulux Trade’s guidance explains that paint age, application and sheen can affect the result. Discuss assessment and a sample before approving local repair. The file assists diagnosis and selection; it does not guarantee that a new batch will match.
Check the file at handover
- Products and codes are linked to the correct rooms.
- Approved substitutions are recorded.
- Available care instructions and detail photographs are included.
- Outstanding observations and follow-up responsibility are clear.
Keep an accessible copy and a backup and update them after maintenance. Warranties and commitments depend on the project’s written agreement; a materials file does not create a new warranty or extend its duration. Include the agreed handover contents in the supply-and-installation quotation.
